1. Who We Are
The Pickle Bullpin LLC ("Pickle Bullpen", "we", "us") operates https://www.picklebullpen.com and related services: player profiles, PSI and PBR rankings, tournament registration and live scoring, court boards and broadcasts, training bookings, the Pro Shop, the BULLION Coin ("BLC") wallet, Card Vault and community features (together, the "Services"). 2. Information We Collect
- Account data: name, email, mobile number, password (hashed), avatar, DUPR/skill level, date of birth or age bracket where required for divisions.
- Tournament & play data: registrations, partners, divisions, match scores, court assignments, results, PSI/PBR movement, lottery entries, waiver acknowledgements (with timestamp and IP).
- Purchase data: items, sizes/colors/options, order totals, shipping address, order history. Card details are collected and stored by Stripe, not by us.
- Wallet data: BLC balances, transfers, bonuses, share-reward earnings and ledger history.
- Communications: messages you send us, notification preferences, SMS/email delivery records.
- Usage data: pages visited, buttons clicked, time on page, device/browser type, IP address, approximate location, and referral links — used to operate, secure and improve the Services.
- Media: photos or videos you upload (profile, tournament, shop, ads) and broadcast footage from events you enter.
- Information from others: Google sign-in profile (name, email, picture) when you choose Google login; partner/team members who register you; tournament directors who enter results.
3. How We Use Information
- Provide and personalize the Services, including rankings, brackets, court assignments and notifications about your matches.
- Process orders, tournament entries, bookings and BLC transactions; prevent fraud and abuse.
- Send transactional email/SMS (receipts, court calls, schedule changes, shipping updates). Marketing texts/emails are sent only with your consent and include opt-out instructions.
- Publish competitive information: player names, team names, scores, rankings, awards and tournament results on public boards, broadcasts and share cards.
- Operate referral/share rewards, promotions and advertising placements inside the Services.
- Analyze usage to improve features, fix problems and secure accounts.
- Comply with legal obligations, enforce our Terms and protect rights, safety and property.
4. How We Share Information
We do not sell personal information. We share it only:
- With service providers acting for us: Stripe (payments), Twilio (SMS), Resend (email), Cloudinary (media hosting), Google (sign-in, analytics, Merchant Center product feeds), Twitch (live broadcast embeds), and our hosting/database providers.
- With tournament directors, partners, coaches, scorekeepers and venues as needed to run events you enter.
- Publicly, for competitive data described in Section 3 and content you choose to post or share.
- With shipping carriers and our fulfillment staff to deliver Pro Shop orders.
- When required by law, subpoena or to protect safety; or in a merger, acquisition or asset sale with notice to you.
5. Cookies, Local Storage & Analytics
We use strictly necessary cookies/local storage for login sessions, your cart, saved shipping address, referral attribution (30 days) and preferences. We log page views and clicks inside the Services to understand member journeys and improve the experience; this data is tied to your account and visible only to Bullpen administrators. Third-party embeds (Twitch, Google) may set their own cookies under their policies.
6. Text Messages (SMS)
By providing your mobile number you agree to receive transactional texts about your account, tournaments, court assignments and orders. Message frequency varies; message and data rates may apply. Reply STOP to opt out or HELP for help. Opting out of transactional texts may mean you miss court calls — you can still see everything in the in-app Notifications.
7. Payments
Card payments are processed by Stripe, Inc. under its privacy policy. We receive only the payment status, last four digits, card brand and billing/shipping details necessary to fulfil your order. BLC is an in-platform credit, not money; its ledger is stored by us.
8. Data Retention
We keep account and competitive history for as long as your account is active and as needed for rankings integrity (results stay in historical standings even after account deletion, shown under your display name or anonymized at your request). Order, tax and payment records are kept for seven (7) years as required by law. Usage logs are retained for up to 12 months. Waiver acknowledgements are retained for the applicable limitation period.
9. Your Choices & Rights
- Access, correct or update your profile at any time in Player Profile.
- Request a copy, correction or deletion of your personal data by emailing admin@picklebullpen.com. We verify requests and respond within 30 days.
- Opt out of marketing emails via the unsubscribe link and of texts by replying STOP.
- Florida, California and other U.S. state residents may have additional rights (know, delete, correct, opt-out of sale/sharing — we do not sell or share for cross-context advertising). We do not discriminate for exercising rights.
- Disable Google sign-in by removing Pickle Bullpen in your Google account permissions.
10. Children
The Services are intended for adults. Players under 18 may participate in youth or family divisions only through a parent or guardian who creates the account, accepts the Terms and waiver, and is responsible for the minor's use. We do not knowingly collect personal information from children under 13 without verified parental consent; contact us to have such data removed.
11. Security
We use encryption in transit (HTTPS), hashed passwords, role-based admin access, and payment tokenization through Stripe. No system is perfectly secure; keep your password confidential and notify us immediately of any suspected unauthorized use.
12. Changes & Contact
